Policy 2: Employee-Owned Device Process

Device Acquisition:

Employees opting for this policy shall purchase their own laptop/device using personal funds. Devices must adhere to weDevs’ standard specifications. (e.g., maximum 32 GB RAM, department-specific requirements, and budget limitations as per internal guidelines) 

Reimbursement (Lease Model Based on Depreciation):

The company follows a lease reimbursement model for employee-owned laptops, considering a 4-year (48-month) useful life and 15% annual depreciation.

Under this model, the employee will receive a fixed monthly lease payment for the laptop based on its depreciated value at the time of starting work at weDevs.

The calculation is done as follows:

The initial purchase value of the laptop will be depreciated at 1.25% per month (i.e., 15% annually divided by 12 months).

The number of months between the purchase date and the employee’s start of usage at weDevs will be considered as pre-used, and the equivalent depreciation value will be deducted from the original purchase price.

The remaining amount will then be evenly divided over 48 months, and that fixed monthly amount will be paid to the employee as lease reimbursement, starting from the month of usage at weDevs.

Reimbursement will stop upon cessation of employment, regardless of the remaining amount or duration.

Example 1:

Laptop Purchase Price: BDT 100,000

Purchase Date: October 2024

Usage Start Date at weDevs: May 2025

Duration between purchase and usage: 7 months

Depreciation for 7 months: 1.25% × 7 = 8.75%

Depreciation Amount: 8.75% of 100,000 = BDT 8,750

Adjusted Reimbursable Value: 100,000 – 8,750 = BDT 91,250

Monthly Lease Reimbursement: 91,250 ÷ 48 = BDT 1,901.04 → BDT 1,902 (rounded)

Example 2 (No delay in usage):

Laptop Purchase Date: May 2025

Usage Start Date: May 2025 (No depreciation deducted)

Monthly Lease Reimbursement: 100,000 ÷ 48 = BDT 2,083.33 → BDT 2,083 (rounded)

Reimbursement Schedule:

Reimbursement will be disbursed on a monthly basis as a fixed lease payment for up to 48 months. Payments will continue as long as the employee remains employed at weDevs.

Termination of Reimbursement:

Reimbursement will automatically stop upon cessation of employment, whether due to resignation, termination, or any other reason.

Servicing and Maintenance:

The employee shall bear full responsibility for all servicing and maintenance costs associated with the device during the course of employment.

Repair and Damage Liability:

The company assumes no liability for any repair, damage, or malfunction of the device purchased and owned by the employee under this policy.
